JOB SUMMARY:  The administrative assistant performs clerical and receptionist tasks, in addition to facilitating mailings, phone calls, computer work and typing for several staff members. 

Description of Job Duties:

 Clerical

  1. Answers and transfers incoming calls, takes messages, assists callers whenever possible (workshop registration/questions, etc.)
  2. Prepares and disseminates meeting packets and takes minutes for various boards and committees.
  3. Works collaboratively with the administrative staff at the Chancery to help with a variety of projects and needs of the Chancery offices.
  4. Assists visitors.
  5. Completes various tasks for diocesan events and projects, including mailings, phone calls, compiling data, etc.
  6. Assists in preparing outgoing mail, including bulk mailings.
  7. Schedules use of conference room.
  8. Keeps up to date on new technology and learns new computer programs and procedures as necessary.

Special Projects            

    1. Assists with registrations for workshops and events at the diocese as asked
    2. Assists at special events as needed; occasional evening hours

All other duties as assigned.

    1. Attends all staff meetings and retreats and participates in other staff functions.

Education:  High School Diploma

Job Related Experience:  One year of experience in an office setting. Experience with general office equipment and customer service is preferred. Ability to act with integrity, professionalism, and confidentiality. Bilingual in English and Spanish is a plus.

Office of Marriage and Family Program Coordinator

JOB SUMMARY  

The Office of Marriage and Family Program Coordinator is responsible for coordinating marriage preparation courses, assisting with other programming, and performing office related duties.

Major Job Responsibilities:

  1. Coordinates Marriage Preparation courses
  2. Manages departmental billings and related record keeping
  3. Assists with other programs and special events within OMF
  4. Assists in planning and implementing OMF vision
  5. Other duties as assigned

Description of Job Duties:

Coordinates Marriage Preparation courses

  1. Recruit, train and schedule speakers for Engaged Couples Retreats and 2nd Marriage Course.
  2. Present at the Engaged Couples Retreat or 2nd Marriage Course when a shortage of speakers occurs or as a last-minute replacement.
  3. Collaborate with the Multicultural Ministries Office when coordinating the Spanish Marriage Course.
  4. Coordinate preparation of facilities and materials needed for the day.
  5. Responsible for set-up and take-down for each marriage prep course.
  6. Submit and maintain reports of income, stipends, and expenses.
  7. Correspond with speakers as needed.
  8. Collaborate with Associate Director of Natural Family Planning and NFP witness couples as needed.
  9. Follow up on requests for materials or assistance as needed.
  10. Attend occasional workshops/conferences/meetings.
  11. Research new materials and media to stay relevant and remain compliant with USCCB marriage prep requirements.

Manages departmental billings and related record keeping

  1. Receives and submits deposits for all income.
  2. Records all accounts receivable/payable.
  3. Prepares invoices for Director to approve for payment.
  4. Prepares billings for various programs as appropriate.

 

Assists in coordinating OMF programs, initiatives and special events

  1. Assists in coordinating annually scheduled initiatives and programming.
  2. Prepares end-of-event reporting including financial detail.
  3. Evaluates events in line with the goals and vision of the office and Diocese.
  4. Completes quarterly bulk mailings.

 

Assists in planning and implementing OMF vision

  1. Assists Director with short and long-term planning and goal setting and vision for the Office of Marriage and Family, in line with the vision and mission of the Diocese.
  2. Assists with the implementation of the vision and goals through events and through collaboration with other OMF and diocesan staff.

Other duties as assigned

  1. Attend and participate in staff retreats and other staff activities.

Education: Two-year associate degree. Four-year bachelor’s degree preferred.

Job Related Experience: Three years administrative experience or related experience. Strong computer knowledge including web maintenance; familiar with general office management. Basic understanding of Catholic Church teaching required. Ability to recruit and work with volunteers. Experience in planning and presenting at retreat/encounter weekends is preferred. Comfortable with public speaking.

Experience: 1-3 years office experience required. Experience in bookkeeping preferred.

 

Education: High School Diploma.

 

GENERAL OFFICE PROCEDURES

  • Answer phone
  • Provide hospitality and customer service to all visitors
  • Respond to questions and issues related to the Rules and Regulation of the Cemetery
  • Provide maps and directions in regards to interment locations to visitors or phone inquires
  • Provide information needed to funeral directors or families
  • Keep calendar updated with scheduled interments and visitors
  • Keep Grounds Department informed of any changes to schedule
  • Process income and outgoing mail
  • Compiling of invoices, ledgers, burial records, burial files
  • Manage the ordering and inventory of office supplies and order cemetery supplies as requested by the Grounds Department
  • Keep office clean and presentable (vacuum, dust, collect garbage, chairs orderly)
  • Keep restroom clean and supplied
  • Unlock filing cabinets in the morning and lock before leaving for the day
  • Maintain temperature for comfort during the day and conserve for the evening
  • Shred confidential documents that are no longer needed
  • Inform Grounds Department of flower delivery locations
  • Maintain all forms needed for the cemetery operations

 

 

OFFICE OPERATIONS

  • Meet with visitors/clients inquiring pricing and availability of locations
  • Contact Grounds Department if visitor wishes to look at or pick out a location
  • If client wishes to purchase follow Sales Checklist to complete and record the sale
  • When receive request for burial/ interment from funeral home or family follow the Funeral Checklist to complete, and update records
  • Knowledge of the Minnesota State Statutes regarding cemetery burial rights and be able to inform and explain to the lot owners how the laws pertain to them
  • Prepare documents needed for lot title changes and Notarize legal documents
  • Perform cemetery financial transactions including: invoices, receivables, bank deposits
  • Prepare payroll on biweekly schedule
  • Scan and email payroll worksheets to Cemetery President for approval
  • Track employees’ vacation and medical days available
  • Prepare retirement forms monthly for retirement plan

 

 

COMPUTER OPERATIONS

  • Process incoming and outgoing email messages in a timely manner
  • Search Occupied, Reserved or Vacant burial/interment locations (Software: FileMaker Pro)
  • Process burial/ interment orders
  • Enter all sales contract information
  • Enter invoices and receivables
  • Update Cemetery Burial Lot information when lot activity occurs
  • Do daily computer backup
  • Do security updates and scans
  • Prepare checks monthly using QuickBooks and have ready for signature
  • Prepare monthly bank reconciliations
  • Prepare monthly financial reports for Cemetery President

 

END OF MONTH FINANCIAL

  • Verify Cemetery census (OCR/VAC/RES) of all interment locations
  • Verify OCR-preneed totals
  • Record new census totals
  • Record General Journal entries in QuickBooks
  • Check QuickBooks Balance Sheet totals to see if they equal census totals
  • Find discrepancies if census totals do not equal
  • Print and double check customer statements and prepare for mailing
  • Print or copy month end reports for Month End reporting book, including journal entries, profit and loss statements, and bank reconciliations.

Supervision: This position does not supervise any employees.

Working Conditions: Office setting; fully in person (no remote work).

Physical Effort: Ability to lift 5-10 pounds, occasionally make way through cemetery grounds (paved and unpaved grounds).
