Position Overview:

Responsibilities

 

  1. Sustained Encuentro Program Coordination: (45%)
    • Provide regular administrative support to the Director of Sustained Encuentro.
    • Document program activities and assist with annual grant reporting.
    • Respond to program partner requests and assist as needed and appropriate. 
    • Assist with budget, including preparing monthly billing and other budget documentation.
    • Lead administrative planning around program immersion experiences.
    • Schedule and host program Zoom meetings.

  2. Admission Department Coordination: (45%)
    • Answer basic admission process questions to inquiring callers and via email through the general admission inbox. 
    • Provide regular administrative support to the Director of Admission. 
    • Coordinate campus visit logistics for prospective students. 
    • Coordinate campus and online events with Admission staff. 
    • Upload admission documents and other relevant materials into Admission’s CRM, Slate. 
    • Monitor and update prospective student data within Slate. 
    • Support Admission Staff in tracking relevant data for internal use and for external accreditation partners. 
    • Manage Admission Department expenses. 
    • Update Admission Decisions within Slate. 
    • Support the admission office in communication and marketing work, including through social media, print, and other digital platforms.
  3. Shared Responsibilities (10%)
    • Support the Director of Sustained Encuentro and Director of Admission in the process of matriculating new students.
    • Maintain positive and collaborative relationships with members of the CSB+SJU community, monastic communities, Liturgical Press, and other campus entities. 
    • Coordinate with SOT/Sem Executive Assistant to the Dean in the area of general administrative and office support, as needed.

Qualifications

 

  1. Associate or bachelor’s degree. 
  2. Experience in an administrative setting.
  3. Proficiency in Zoom and Microsoft Office programs: Outlook, Word, Excel, PowerPoint. 
  4. Ability to work on various social media platforms 
  5. Familiarity with budgeting and basic accounting as part of administrative skillset
  6. Ability to work within online applications 
  7. Ability to work independently and in a team environment

Instructional

  • refer any potential speech, EBD, LD, special education, or physically challenged students to the appropriate specialist for diagnosis and the implementation of an individual educational plan.

Environmental

The teacher will:

  • use instructional aids in the classroom to enhance learning.

  • keep her/his classroom in an order that enhances learning.
  • maintain procedures for discipline that enhance learning.
  • participate, support, and implement the school discipline plan.
  • have and implement a management system in the classroom.

Professional Development

The teacher will:

  • maintain current continuing education credits and have on file at all times a valid Minnesota Teaching License.

Tuition Management/ Accounting

The Catholic Community Schools (CCS) tuition management/accounting team member oversees the CCS tuition and financial aid management system, FACTS, and is a key resource for parents with questions regarding enrollment, tuition, fees, grants, and financial aid.  Other key responsibilities include ensuring that families are billed for tuition and fees appropriately through the CCS  variable tuition structure, and that payments are made promptly according to each family’s payment plan.

Essential Duties and Responsibilities:

  • Ensure that all student profiles are in the Tuition Management System (FACTS), correctly billed, and have received credit for grants, aid, or other discounts.
  • Ensure that enrollment in the Tuition Management System reconciles with enrollment in the Student Information System(s).
  • Assist families in the enrollment process and the financial aid application process.
  • Collect payments from families for deposits into the Tuition Management System and maintain timely payment plans.
  • Prepare bank deposits for tuition and fees collected as policy requires.
  • In conjunction with the Director of Finance, coordinate, prepare, and review all necessary reports to complete the grant and aid process and tuition reconciliation.
  • Respond to parent questions regarding enrollment and tuition and document responses in the Tuition Management System.
  • Enforce school and system policies concerning tuition and fee collection.
  • Follow up regularly with families who are behind in payment of tuition.
  • Prepare all necessary reports required during the annual audit of tuition records.
  • Prepare ad hoc reports as needed.
  • Assist the finance department with defining internal procedures and controls.
  • Assist the finance department in other areas as needed.

Qualifications:

  • Bachelor’s degree in finance or accounting
  • Must be proficient with Excel / Microsoft Office
  • 2 + years of accounting or bookkeeping experience
  • Prior experience with accounts receivable management a plus
